Hours:
- Monday: Day off
- Tuesday: 8:15 AM – 5:00 PM
- Wednesday: 8:15 AM – 6:30 PM
- Thursday: 8:15 AM – 5:00 PM
- Friday: 8:15 AM – 5:00 PM
About the Role:
Due to a staff retirement and the creation of a new role within Thrums Vets, we are seeking a dedicated and personable Receptionist to join our busy team at Blairgowrie Surgery. As the first point of contact for our clients, both over the phone and in person, this role is crucial in creating a welcoming and professional environment.
We are looking for someone with excellent customer service skills, the ability to remain calm under pressure, and a passion for providing the best experience for our clients and their pets.
Key Responsibilities:
- Provide prompt and efficient responses to telephone inquiries.
- Welcome clients warmly upon arrival.
Use the practice management software to:
- Book appointments
- Register clients and their pets
- Process invoices and record payments
- Check and adjust stock levels
- Maintain accurate and up-to-date client records.
- Coordinate appointments smoothly by liaising with veterinary nurses and vets.
- Address basic inquiries about practice policies, including vaccinations and treatment costs.
- Educate clients on preventative health care (e.g., neutering, flea and worm treatments, and vaccinations).
- Promote the Pet Health Plan and Pet Insurance options to clients.
- Handle client complaints or queries professionally and empathetically.
- Relay messages effectively to other members of the practice team.
- Perform general clerical tasks, including filing, photocopying, and faxing.
- Dispense repeat prescriptions and assist with medication under practice policies.
- Order and restock medication, food, and dispensary supplies.
- Perform cleaning duties such as mopping, dusting, and tidying to maintain a professional environment.
- Support vets and nurses with animal care as needed.
- Carry out any other duties relevant to the role as required.
Knowledge and Skills Required:
- Prior experience in a busy reception environment.
- Teamwork experience is advantageous.
- Outstanding customer service skills, with the ability to remain calm, caring, and polite under pressure.
- Strong computer literacy, numeracy, and organisational skills.
- Friendly, professional, empathetic, and warm demeanor toward clients and their pets.
- Knowledge of veterinary terminology is a plus but not essential.
- Smart appearance and adherence to the practice dress code.
- Availability to attend internal meetings and training during and outside normal working hours.
- Ability to work independently as well as part of a team.
Training and Development:
- Full training will be provided.
- Attendance at relevant in-house CPD (Continuing Professional Development) training is encouraged.
- Participation in external CPD courses to enhance skills and support personal development may be expected.
Work-Life Balance:
We offer a structured working rota to promote a healthy work-life balance. While Blairgowrie will be your primary workplace, occasional visits to other branches may be required.
